Tricare Online Appointment Portal – Conceptual project Mobile application | UX Research | Visual Design | Figma | Adobe Photoshop | Count | Octopus.do | March 2023

Problem: Military members and their families want to use Tricare’s online patient portal to make appointments, get prescriptions, text doctors, and access medical records/test results. The website is extremely difficult to use due to poor responsive design, making it difficult for people to use the main features of the portal. Many service providers I have spoken to have given up on using the portal and instead choose to call the clinic or make an appointment and have to wait a long time.

Tricare Online Appointment Portal

Solution: Tricare, an online patient portal, was designed to provide military personnel and their families with a simplified and convenient way to access or use health care services. The target users of the TOPP program are military personnel and their adult dependents.

Military personnel and their families wanted a Tricare patient portal app where they could easily book appointments, request prescriptions, message their care team and access lab results.

To begin my research, I conducted a survey of 7 active duty military personnel and 2 adult dependents (spouses) through Tally. The purpose of the survey was to find out how they currently interact with the Tricare portal, what challenges they face, and what features they would like to see if the app is created. In addition to the statistics below, users have also expressed some of their main frustrations with the current portal: difficulty logging in, slow load times, and not being able to use it on their mobile devices.

Since the audience for this project was quite broad (all military personnel and their families), I tried to represent as many people as possible through two personas. They were developed based on quantitative and qualitative data from my interviews and user surveys.

To help me deepen my empathy and better visualize my users’ processes, I created two user journey maps.

From the data collected, my research revealed that users had 4 main purposes for the app: making appointments, getting prescriptions, messaging the care team, and getting lab results. With that in mind, I set about creating a sitemap.

After the research phase, I started exploring page layouts using sketches, decided what I thought would best serve users, and created a predictable design pattern. With the thumbnails, I also decided to add a visual progress bar to the appointments and prescription fill flows.

After shooting a few screens, I settled on a basic layout and moved on to my low-fidelity designs. I used my low-fidelity layouts to create a visual hierarchy, drawing users’ attention to the most requested features.

After a cycle of usability studies, I noticed that I had forgotten one big problem among users:

In addition to the “missing encounter problem”, there were also accessibility issues for users with limited dexterity, who could struggle to hit small targets. Small circles can be a problem for these users, so in addition to making the circles clickable, I also made the text clickable to make the target bigger and easier to hit later.

I wanted the app’s visual design to be as simple and inclusive as possible, helping users easily get to the main flows. I made sure that the text was large enough for users with limited vision to see it without distraction and added a combination of icons to the text. I also ensured that the colors met the WCAG contrast ratio accessibility standards. I chose a blue color scheme because most users associate blue with competence and reliability.

Gone are the days of waiting by the phone for an appointment line to open at your local hospital so you can make an appointment for yourself or your sick child with one of the few same-day appointments available.

With Tricare’s automated network system, you can take care of this and many other tasks without hearing a busy signal.

TricareOnline.com allows users to make, change or cancel hospital or clinic appointments, including same-day appointments. It also allows users to view radiology and laboratory results, medication profiles and immunization records. And you no longer have to call the pharmacy to fill or order when you arrive and then wait. Users can also use the system to fill prescriptions for collection at a hospital or clinical pharmacy.

Another convenient feature of TricareOnline.com is the ability to communicate directly with a provider or primary care team. You can use this service to send questions or other types of messages about your treatment. And while sending urgent questions is probably not a good idea—it may take a few days for the team to respond—it’s a great opportunity to ask questions about references or other non-urgent questions.

Note that if you have children, they may not initially appear on your profile. The sponsor must allow the children to log into your account so that you can make appointments for them, view lab results, and more. Like many websites, it’s best viewed in Safari or Internet Explorer, which Microsoft will phase out in June 2022 and replace it with Microsoft Edge.

Tricare officials said the system, which was made more user-friendly in January 2015, is available to any hospital or clinic, including those in the community. It does not help you make appointments or communicate with providers outside the facility system.

You must have a DS account, Defense Financing Accounting Service (DFAS), or Common Access Card (CAC) reader to access TricareOnline.com. If you do not have a DS account, you can register on the site. And while the DS login password requirements are a bit cumbersome, it’s a good idea to have one. This login is used on many DoD websites, including OneSource. Once you’ve created one, you’ll never have to do it again.
